Responsible for handling
front office reception and administration duties, including welcoming
guests and, answering phones, handling company inquiries, sorting and
distributing mail, also schedule meetings and travel for executives.Responsibilities: -
- Answer phones and operate a switchboard.
- Route calls to specific people.
- Answer inquiries about company, local and International.
- Greet visitors warmly and make sure they are comfortable.
- Schedule meetings and conference rooms.
- Ensure reception area is tidy.
- Coordinate mail flow in and out of office.
- Handle phone calls from people calling in sick.
- Gather personal and insurance information.
- Hand out employee applications.
- Arrange appointments.
- Cash out people when necessary.
- Validate parking tickets.
- Send email and faxes.
- Collect and distribute parcels and other mail.
- Perform basic bookkeeping, filing, and clerical duties.
- Prepare travel vouchers.
- Take and relay messages.
- Update appointment calendar
- Schedule follow-up appointments.
- Bachelor's degree in related field
- Two (2) years previous experience
- Proficient computer skills & IT. Microsoft Office Suite (Word, Power Point. Outlook, and Excel)
- Fluent in Speaking and Writing Kiswahili, English, French and Chines language
